System Manager Workflow

As a System Manager, you have the broadest view of the platform - sessions, assessments, progress reports, and growth reports across the board. A lot of your work is behind-the-scenes account support and setup.

The Flow

  1. Assume Identity - seeing the platform the way another user does.
  2. Background Check Status Management - fixing an incorrectly set background check status.
  3. Clever Identifier Management - fixing a student’s Clever sign-in.
  4. District Faculty Management - setting up District Faculty accounts and Spark seat limits.

Assume Identity

Need to see the platform the way a Tutor, Student, Faculty member, or Instructor sees it? Assume Identity lets you log in as them for troubleshooting. It’s meant for support situations only, not everyday use.

Background Check Status Management

If a Tutor’s background check status was set incorrectly, you can fix it. You can change the status from any state other than Verified, for example switching a mistaken “Not Cleared” back to “Approved.” Once a check is Verified and Approved, though, it’s locked and can’t be edited anymore.

Clever Identifier Management

If a student is having trouble signing in through Clever, you can check and update their Clever ID from their Access Token page - any changes take effect right away for future sign-ins. Clever’s Instant Sign-In also has its own dedicated link, so students just see a simple loading screen while it works.

District Faculty Management

You’re the one who sets up District Faculty accounts. From a district’s Details page, you can add a new District Faculty member, assign them to the specific schools they should have access to (they can only see data for schools they’re assigned to), and see everyone’s role at a glance in the Role(s) column.

For districts using Spark, you can also set a limit on how many Instructors a district can have. If someone tries to add an Instructor past that limit, they’ll see a warning - you can choose to continue anyway, but District Coordinators can’t. If a district is already over its limit, say because you lowered it, a badge shows up on the district page until it’s back in range. Nobody gets removed automatically.
